School picture day has a way of arriving before you’ve thought about it. Having a short checklist to run through beforehand takes the scramble out of it.
This page covers what to prepare in the days before picture day and what to confirm the morning of.
What This List Is For:
This is a preparation checklist for parents managing school picture day logistics – outfit selection, payment or order forms, morning grooming tasks, and what to send with your child. It’s designed to be used a few days before picture day and again the morning of.
📄 A formatted, print-ready version of this checklist is included in the Kids & School Binder.
Keeping school-related lists in one place makes it easier to find what you need and reuse the same checklists each year without starting from scratch. This includes preparation lists, routine trackers, forms checklists, and event lists that come around on a predictable schedule.

Below are the details typically included on a school picture day checklist.
School Picture Day Checklist
3–5 Days Before Picture Day
A few days of lead time is enough to handle the tasks that can’t be done the night before.
Outfit choices, haircut timing, and order forms all fall into this window.
- Confirm the picture day date on the school calendar or newsletter
- Review any order form or online payment link sent home by the school or photography company
- Decide whether you’re ordering a package in advance or waiting for proofs
- Complete and return any physical order forms if required before picture day
- Choose the outfit and check that it’s clean, pressed, and ready
- Schedule a haircut if needed; aim to have it done 3–5 days before, not the night before
- Try on the full outfit, including any layers to confirm fit
- Note whether your school takes full-body photos – if so, check shoes as well
- Check if the school has any dress code restrictions that apply to picture day
Getting this done a few days out means the morning of picture day is just a confirmation pass, not a preparation session.
The Night Before
The night before is for confirming everything is in place, so the morning doesn’t involve searching for anything.
- Lay out the full outfit, including accessories, socks, and shoes
- Confirm the order form or payment has been submitted if required in advance
- Set out a comb, brush, or any styling items needed in the morning
- Check the school schedule to confirm what time pictures are happening – some schools photograph early, which affects arrival timing
- Pack any backup items your child’s school or photographer recommends bringing
If everything is laid out and confirmed the night before, the morning routine stays on schedule even if something comes up.
Morning of Picture Day
The morning checklist is short. Most of the preparation work is already done – this is a final confirmation pass.
- Complete hair and grooming before leaving the house
- Do a quick check: collar flat, no visible stains, nothing out of place
- Check teeth and face – a quick mirror check before leaving saves rework at school
- Confirm the child has any required envelopes, order forms, or vouchers in their backpack
- Send a small comb or brush in the backpack if your child’s school allows it and their hair typically needs attention during the day
- Remind your child what time pictures are happening if that affects how they dress for the day – some kids change for gym or PE before pictures
The morning list takes two minutes to run through and catches most of the things that would otherwise be noticed at drop-off.

Most schools schedule a retake day a few weeks after the original picture day. It’s worth noting on your calendar when the school announces it.
- Note the retake date when the school communicates it
- If you’re unhappy with the original photos, confirm the process for requesting a retake; this varies by school and photography vendor
- Some schools require you to return the original package before retakes; check the order form instructions
- Keep the retake date on your school events list so it doesn’t get missed
Retake day is easy to miss if it isn’t added to the calendar right away; most schools only announce it once.
Practical Notes
This checklist is used once or twice a year per child – once for fall picture day and once for spring pictures if your school offers them.
If you have multiple children, run through the checklist separately for each one, since outfit choices, hair needs, and order form requirements may differ.
Order form processes vary by school and photography company.
Some schools use online ordering only, some still send paper forms home, and some offer both. Confirming which system your school uses at the start of each school year saves time when picture day approaches.
School picture day is a short, repeatable task. A checklist you can pull out each year – one that covers outfit prep, forms, and the morning routine – keeps it from becoming a last-minute scramble.
